How to Manage Employee Training Certificates in the UK

Letting a training certificate expire can mean a £10,000 fine or a failed HSE inspection. Here's how UK businesses can stay on top of renewals without spreadsheets.

Why training certificate management matters
The Health and Safety at Work Act 1974 and subsequent regulations place a duty on employers to ensure workers are adequately trained for their roles. In practice this means:
- First aid certificates (typically valid 3 years) must remain current or you may lack a qualified first aider on site.
- CSCS cards, IPAF and PASMA cards are checked by principal contractors on construction and logistics sites — expired cards mean your people are turned away.
- Manual handling, fire safety, and food hygiene certificates are checked during workplace inspections and following incidents.
- GDPR training records may be requested during an ICO audit or after a data breach.
Fines under the Health and Safety at Work Act can reach £20,000 per offence in a magistrates' court, with unlimited fines in the Crown Court for more serious failings.
The problem with spreadsheets

- Audit your current workforce: who holds what, and when does each certificate expire?
