An expired forklift operator certificate is one of the most common reasons workers are turned away from UK logistics and warehouse sites. Here is how to make sure it never happens to your team.

Forklift truck (FLT) operators in the UK must hold a recognised certificate of training and competence — typically from RTITB, ITSSAR, or AITT — to operate in a commercial workplace. These certificates are not indefinite; refresher training and recertification are required periodically, and on most sites, an expired certificate means an immediate prohibition from operating.

Why FLT certificate expiry is a serious risk

Forklift trucks are involved in around 1,300 serious accidents every year in the UK, according to HSE statistics. For this reason, the Lifting Operations and Lifting Equipment Regulations 1998 (LOLER) and the Provision and Use of Work Equipment Regulations 1998 (PUWER) both require employers to ensure that people operating lifting equipment are competent and hold appropriate training records.

The consequences of failing to manage FLT certificates properly include:

• HSE improvement notices or prohibition notices that can halt operations entirely.
• Unlimited fines and potential prosecution if an incident occurs involving an uncertified operator.
• Personal liability for site managers and directors who knowingly allowed uncertified operators to work.
• Contract penalties on third-party sites where principal contractors require sight of current certificates before allowing access.

What certificates and cards do FLT operators need?

The requirements vary depending on the type of equipment and the site, but most UK forklift operators will need:

• Basic operator training certificate from a recognised accreditation body (RTITB, ITSSAR, or AITT) — no fixed expiry in legislation, but refresher training is expected every 3–5 years.
• Site-specific familiarisation sign-off for each new site or piece of equipment.
• Counterbalance, reach truck, VNA, or other class-specific endorsements — each held separately.
• Medical fitness certificate — some employers and sites require periodic fitness assessments for FLT operators.
• CSCS Logistics card — required on many construction and logistics sites.

The challenge of tracking FLT certificates at scale

For businesses with five or ten FLT operators, a spreadsheet is just about manageable. For a warehouse or logistics operation with 40 or more operators across multiple sites, it quickly becomes unworkable. Certificates expire on different cycles, operators gain new class endorsements, and the responsibility for chasing renewals is rarely owned by a single person.

The most common failure mode is not that nobody knows about the expiry — it is that everyone assumes someone else is managing it. A certificate-tracking system eliminates this ambiguity by sending automatic reminders to the right people.

What to look for in FLT certificate tracking software

• Ability to store multiple certificate types per employee (counterbalance, reach, CSCS, medical fitness, etc.).
• Automatic expiry reminders via email and SMS, with configurable lead times (90, 30, 7 days).
• Document storage: the actual certificate PDF or photo should be stored alongside the record — not just a date.
• Bulk import for onboarding large teams quickly from existing spreadsheets.
• Audit log so you can demonstrate when records were uploaded and by whom.
• Role-based access so site managers see their own team's records without accessing other sites.

Getting your FLT certificate records in order

1. List every FLT operator in your business and the equipment classes they are authorised to use.
2. Collect the original certificates for every operator and scan or photograph them if you don't already have digital copies.
3. Record the issue date and determine when refresher training is due (typically 3–5 years, or per your training provider's recommendation).
4. Upload everything to a centralised system with expiry dates set.
5. Set up automated reminders at least 90 days before expiry so you have time to arrange refresher training and rebooking.
6. Make a named person responsible for the process and ensure cover arrangements exist if that person is absent.
